ADMINISTRATIVE ASSISTANT- INOVIO- Woodland Hills, CA

Job Summary

The Administrative Assistant will be responsible for handling and managing the office and administrative duties for the Inovio general manager and sales support team in Woodland Hills, CA.  Additionally, the role will encompass various support duties, processing of paperwork and client documents, as well as scheduling of events, appointments, and travel arrangements.   This individual will interact directly with merchants to resolve various issues.

 

What you will be doing:

  • Support General Manager with travel arrangements, expense reporting and calendar management

  • Coordinate office management tasks including supplies, maintenance, bills, errands, mail routing, scheduling of meetings

  • Process incoming paperwork and documents, as well as new client set-up

  • Handle/Direct incoming phone calls

  • Act as contact point for client support and communication requests/issues

  • Communicate and coordinate with acquirers and downstream payment processors on day-to-day business issues

  • Prepares reports

  • Invoicing for all merchants

  • Coordinate tradeshows and other events

  • Assist sales associates as needed

  • Additional duties and responsibilities will be defined as the position evolves

Job Requirements

What we need from you:

  • High school diploma

  • Some college preferred

  • Payments Industry knowledge preferred

  •  Minimum of 2 years of office/administrative support experience

  • Highly accountable and able to work with minimal supervision

  • Superior communication (written and oral) is a must

  • Proven ability to multi-task and adjust to changing priorities

  • Strong follow up skills and adherence to deadlines

  • Strong organization skills and attention to detail

  • Proficient skills with spreadsheet, presentation, and other office computer programs
