JOB SUMMARY

The Executive Assistant is responsible for providing direct administrative support to the Chief People Officer (CPO). In addition to providing administrative support, the Executive Assistant will also be accountable for coordinating projects effectively as assigned by the CPO. This role requires independent judgment and initiative on assignments that are sensitive in nature as well as demonstrated ability to deal with high level contacts inside and outside the company. The person in this role will function as the department’s gatekeeper, understanding the operational priorities and administrative requirements of the CPO and the related leadership team.

What else you will be doing:

  • Supports the budgeting and tracking process of department expenditures for executive working closely with finance. 
  • Oversee travel arrangements (air, hotel accommodations and ground transportation); prepare detailed itineraries and ensure accuracy and timely delivery of plans/tickets
  • Manages the travel program for the company and is the main point of contact with the third party vendor. Ensures new team leaders and/or team members are advised on travel program procedures and have access to travel site.
  • Manage calendars, schedule meetings, arrange meeting logistics, agendas, and materials for meetings, e.g. set-up resources and technology, conference room, catering/lunch, teleconference, and web conferences.
  • Be responsible for the tracking of business expenses and preparation of expense reports
  • Communicates with HR related vendors; gathers pertinent information and routes to the appropriate staff member.
  • Prepares confidential documents and correspondence as needed.
  • May monitor and respond or direct responses to others from the HR mailbox.
  • May direct and guide the work of others.
  • Performs miscellaneous projects that are assigned by CPO

Job Requirements

What we need from you:

  • Associates Degree and/or equivalent, related experience.
  • Minimum of 3 years’ experience as an Administrative or Executive Assistant supporting a VP or higher level position.
  • Intermediate to advanced MS Office/Google skills (Word, Excel, PowerPoint, Gmail)
  • Experience creating and maintaining organizational charts.
  • Experience tracking expenses for a department to include auditing for corrections and distributing to accounts payable for processing.
  • Experience managing a busy executive’s calendar.
  • Experience working with budgets and overseeing the tracking process to ensure projects are in line with forecast.
  • Experience preparing presentations, reports and correspondence.
  • Excellent organization skills with the ability to keep on task with many interruptions.
  • Must possess excellent communication skills and the ability to effectively interact with staff and external stakeholders at all levels in a complex, often high-pressure environment, remaining diplomatic, proactive, resourceful and efficiency.
  • Ability to approach work with an inquisitive mindset to get the direction without having to be guided on how through each requested task.
  • Good judgment and problem solving skills.
  • Ability to maintain confidential information is critical.
  • Flexibility with work schedule.
